Provides senior level executive support to the Executive Leadership Team (ELT) assigned functional areas, Finance and key support to the CFO. Provides functional admin back-up support to other ELT areas as required by the business. Work requires a high level of administrative support, organization, and communication skills. Discretion with highly confidential matters, as well as prioritization and efficient, error-free execution of complicated project management and ELT administrative support for both routine and complex assignments is required.What you'll be doing

1. Enables a high level of productivity and results within the assigned executive areas by managing and organizing meetings, schedules, and key events.

2. Keeps assigned ELT advised of time-sensitive and priority issues, and ensures actions.

3. Prepares, reconciles, and timely submits expense reports for assigned areas.

4. Manages all PO/invoice and related processing needs as required for the functional area.

5. Arranges business itineraries and coordinates travel, work schedules, dinner meetings, staff events, and other ELT assigned projects end-to-end.

6. Completes special projects including creating presentations, tracking spreadsheets, creating special reports, and compiling agenda materials.

7. Reviews and sends communications on behalf of company executives, as requested.

8. Researches and consolidates information in preparation for meetings, work projects, and reports. Correlates and edits materials submitted by others. Maintains follow-up files and procedures to work more efficiently.

9. Receives and assists visitors and all related stakeholders, either addressing the matter or referring them to appropriate person as circumstances warrant.

10. Coordinates/participates in assigned areas for executive meetings, records minutes, and maintains permanent records.

11. Maintains highly confidential files regarding personnel, legal/compliance, prospective acquisitions and/or divestitures, and other sensitive projects.

12. Takes manual dictation and transcribes as needed, proving minutes and materials.

13. Maintains filing and record management systems and other office flow procedures.

14. Maintains up-to-date procedure's manual for the specific duties handled on the job.

15. Provides core back-up to other administrative assistants and assists where assigned.

16. All other duties and special projects as assigned by ELT.

What you'll bring to the table

  • Bachelor's Degree or equivalent level experience is required.

  • 10 plus years prior experience in support and customer service required.

  • Experience in supporting senior executives highly preferred.

  • Advanced computer skills, Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)

  • Exceptional writing, editing, and proofreading skills,

  • Strong organization, project management, and time management skills.

  • HYBRID ROLE - Requires a MIN three-four days onsite presence per week.
