Job Description:

SUMMARY OF POSITION

Serves as the first point of contact for individuals with substance use disorders entering residential treatment. Sets the tone for the intake process; responsible for the process running efficiently. Completes client intake paperwork including capturing demographic, insurance and other pertinent information and entering it into the electronic health record. Provides a welcoming environment and warm handoff to clinical and nursing staff. Responsible for the organization and accuracy of bed management. Accountable for answering the facility phone and routing calls.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Builds the initial client relationship and confidence in the residential program with every prospective client interaction.
  • Addresses all clinic and client calls related to intake processes or center-provided services in a courteous, professional manner. Checks health screens and completes COVID tests for new arrivals.
  • Responsible for all admission/discharge paperwork including admissions packet, Centerstone Health Center packet, releases of information, inventorying client items, managing client funds, client mail, copies, certificates, making copies.
  • Maintains the accuracy of bed management. Ensures client's room is clean, organized and prepared properly for new admission.
  • Answers phones, manages the fax machine, indexes, scans, inventories all facility supplies and manages ordering, manages the census and opens charts.
  • Communicates with Admission Coordinators about admissions and discharges and ensures an accurate census. Notifies Clinical and Utilization Management staff when an authorization is needed prior to service delivery.
  • Uses good judgment to discern what issues may be urgent and need a manager's or director's attention immediately.
  • Keeps updated records and detailed documentation of client interactions, concerns, and complaints in an electronic medical record, phones, faxing, indexing, scanning, supply ordering, managing the census and opening charts.
  • Transport clients to appointments as requested.

KNOWLEDGE, SKILLS & ABILITIES

  • Effectively communicate via written, verbal, in person and virtual methods.
  • Skilled in customer service techniques.
  • Knowledge of electronic medical records and inventory tracking.

QUALIFICATIONS

Education Level

High School Diploma or GED required.

Years of Experience

  • One to three years administrative experience preferred.
  • Experience working with individuals in a behavior health setting preferred.

$13.70--$17.09
